Berlin, 14 August 2007 – WILO AG introduced a comprehensive solution comprising Beta System's FrontCollect Invoice input management software and the FIS/edc invoice monitor from FIS to automate its incoming invoice processing. The new system enables the Dortmund-based pump and pump system manufacturer to electronically capture, validate, check and book all relevant information on incoming invoices and submit them for approval in SAP.

The decision for the Beta Systems/FIS solution was made in April 2007, and the new system has already been up and running since June. For now, Wilo uses it to process 250,000 invoice pages each year in its German accounting departments, but rollouts in France and England are planned for 2007/2008.

This is how the solution works: FrontCollect Invoice draws on its "intelligence" – the integrated rule set and its knowledge base – to extract information. Even unknown invoice layouts can be captured. And should the system not be able to determine all values, the document is automatically sent to post-processing. FrontCollect Invoice then analyzes the post-processing data and updates its knowledge base accordingly, meaning the software learns on its own and applies the new findings in the future.

The data extracted by FrontCollect Invoice are then sent to the FIS/edc invoice monitor. This component offers functionality for validating and booking invoices, sending them to approvers via e-mail as well as monitoring their status. FIS/edc enables automatic invoice booking and, if required, supports manual processing in a powerful, easy-to-use monitor. Modern editing tools and the ability to access all standard SAP functions facilitate comfortable and quick processing. And thanks to integrating the existing e-mail system, the solution provides a smooth, multi-level approval process. As a result, the invoice throughput times were greatly reduced while the quality of the entire workflow was significantly enhanced.

The task of implementing the Beta Systems/FIS solution into Wilo's existing infrastructure was successfully carried out by Beta Systems' partner FIS. FrontCollect Invoice and FIS/edc were seamlessly integrated with the EASY Software archive system in place, and Web-based approval is performed via Microsoft Outlook.
